Cal Poly Report
The Cal Poly Report is our official employee newsletter, providing university news and listings for sponsored or sanctioned Cal Poly events.
We publish the Cal Poly Report every Wednesday except during academic breaks. In July, we publish one issue for the month.
New Submission Process
University Communications and Marketing is implementing a new process for submitting content to the Cal Poly Report. Instead of emailing us, submitters now need to use an online submission form. The new form ensures all required information is included upfront, therefore reducing back-and-forth communication.
The new submission form will launch in late September. There will be a month-long adoption period until the end of October. Starting Nov. 1, we will no longer be accepting submissions via email.
Important Dates
* Aug. 19: First Cal Poly Report of AY 26-27.
* Aug. 24: The new submission form is in beta testing. Submissions will be accepted via the form and the
[email protected] email.
* Sept. 23: The new submission form is officially live. Please submit content via the form.
* Nov. 1: Submissions are no longer accepted via the
[email protected] email.
Cal Poly Report Requirements
Here are some important things to remember when submitting your listing:
* Deadline: Your text, photos and designated approval form (if applicable) need to be submitted via the online form no later than 5 p.m. the Thursday before your desired publication date. Submissions received after the deadline will be published in the next available issue.
* Submission frequency: Submissions may run only one time, with the exception of Catastrophic Leave announcements and Employment Opportunities, which can run up to two consecutive weeks.
* Word count: Submissions are strictly limited to 100 words.
* Links: Whenever possible, provide a single link to further information online. Provide no more than two links total.
* Audience: All announcements, events and other listings must be faculty- and/or staff-focused unless they are related to student success.
* Style: Please adhere to Cal Poly’s Style Guide when writing your listing.
Photos
Your submission doesn’t need to have an image. In fact, no image is better than the wrong image.
What’s the Right Image?
Choose images that are easily visible when sized down for the online newsletter. High-resolution photos are preferred.
* Use photographs or illustrations.
* Do not include written information on your image.
* Do not use logos.
* Do not use versions of your flyer.
* We will crop to a standard format.
How to Size Your Image
The Cal Poly Report uses three sizes generally. Dimensions are:
* Rectangle: 72 DPI. Portrait orientation is 600 px by 900 px. Landscape orientation is 900 px by 600 px.
* Square: 72 DPI. 300 px by 300 px.
* Full-Column: 72 DPI. 1600 px by 900 px.
